General Registration Information


The Rio Grande College in Del Rio, Eagle Pass, and Uvalde are a part of Sul Ross State University, a member of the Texas State University System. The college offers upper level and graduate courses leading to degrees in liberal arts, teacher certification, and business. Students enrolling through the college receive residence credit for courses at Sul Ross, and all degrees are awarded by Sul Ross State University.

Adding and Dropping Courses

Student may add or drop classes using Banner Self-Service, up to the first class day for each semester. The academic calendar is listed in the academic catalog and the corresponding class schedule. Forms to complete the change are available at the three campuses and may be obtained during normal business hours. No change is official until it has been received by the Office of Admissions and Records. There is no charge for dropping courses. An addition of hours to any current course load may generate an amount owed to the institution.

Withdrawal from the University

On those occasions in which a student finds it necessary to withdraw from all courses during a particular semester, the student must complete a withdrawal form. No fee is charged for executing a complete withdrawal. Student withdrawing from the college may be entitled to a refund of tuition and fees, the amount set by university policy and listed in the catalog and corresponding class schedule. However, a student must apply all fess owed the university prior to withdrawing.

Graduating Senior and Master Degree Candidates

Graduating seniors and master's degree candidates must apply for graduation and pay the appropriate fees at the time of registration, or, in any event, no later than the date listed in the calendar as the last day to apply for graduation. Applications may be obtained at any college office and should be returned there. The application fee is $20.

Students planning on graduation in absentia must pay an additional $20 fee. Students applying for graduation after the last date as indicated in the calendar must also pay an additional $10 fee. Students applying after the last date as indicated should be aware that diplomas may not be available at the time of commencement, and may take an additional 10 weeks for delivery.

Cancellation of Courses

The university reserves the right to cancel or add courses, alter time schedules or meeting places, or make other schedule changes deemed advisable.

New Students

Students who have never enrolled in Sul Ross State University prior to the summer term 1998 are expected to complete all admissions requirements prior to registering for courses. A complete application should be on file in the Office of Admissions and Records, 3107 Bob Rogers Drive Eagle Pass, TX 78852, prior to registration.

Property Deposit

State laws provide that each institution shall collect a reasonable amount not to exceed $10 for damage to laboratory and libraries. Sul Ross State University collects the deposit. Student may recover the deposit at the end of the student's enrollment at Sul Ross State University or graduation by completing a Deposit Return Request Form within four years of termination. Those deposits not refunded become a part of the scholarship funds. The deposit will be collected at the first enrollment. At subsequent enrollments, the student may be required to replenish the deposit to maintain the level of $10.

Students Receiving Veterans Administration Educational Benefits

All students receiving VA educational benefits are expected to file a degree plan during the first semester of enrollment. Veterans who have questions should contact the Veterans Benefits Representative at (830) 758-5007.

Concurrently Enrolled Students

Students planning on enrolling concurrently with Sul Ross State University and Southwest Texas Junior College should arrange to complete their registration with the junior college prior to enrolling with Sul Ross. Information on the places and times for SWTJC's registration may be obtained from the junior college at (830) 278-4401.

Maximum Course Load

The maximum course load for a long semester includes the total semester hours earned at all institutions and from all sources, including SWTJC, Sul Ross, Alpine, correspondence courses, and/or extension courses. The university reserves the right to refuse to accept for transfer credit any course from other institutions which are completed concurrently with resident courses at Rio Grande College when the combines totals exceeds the maximum allowed for a long semester.

Undergraduates: The maximum load for an undergraduate student not on probation in a long term is 21 semester credit hours including laboratory sciences. The maximum student load for an undergraduate on academic probation is determined by the terms of the probation.

Graduates: A graduate student may enroll for a maximum of 15 semester credit hours in a long term.

Change of Information/Address

Students who change their home address or change their telephone numbers after registration must notify the Office of Admissions and Records. To complete the process, students can pick up the form at any of the three campuses and some actions may require supporting documentation. Students are held responsible for any communication from any University official sent to them at the address last given to the Office of Admissions and Records.

Student Directory Information

Information such as name, address, and phone number are listed in this directory. The directory is available at the Office of Student Services. Students have the right to remove their information from being disclosed, but such requests require supporting documentation from the student. Documentation is required to be in the Office of Admissions and Records before the last day for late registration and schedule changes, as listed in the Sul Ross State University Rio Grande College calendar for the appropriate semester or summer term.

Registration Procedures

Students should arrange to see an advisor in their major area prior to registration for assistance in planning courses; advisors are listed. At registration, students should be prepared to supply all necessary information including social security numbers. Registration begins at the college office or other designated location at the times listed in the academic calendar. Payment must be made before a registration is official.


All students planning to take courses must also purchase a parking permit from SWTJC, and will need the license number of the car which they plan to park on campus. Parking permits are required on all campuses.

Final Examinations

The dates of final examinations are listed in the academic calendar of this bulletin. Examinations are given at the time and place of regular class meeting.

Posting of Grades

Instructors are not required to post grades. Neither may college offices release grades of individual students. It is the policy of Sul Ross State University not to mail grades to students. Grades are available to students via Banner Self-Service.

Called to Active Duty or Military Deployment

Use this form to request a withdrawal and refund of tuition and fees due to the student being called to active duty or National Guard /reserve unit being deployed for training or special assignment. The completed form, along with a copy of your orders, should be delivered to the Office of Admissions and Records.

Request to Repeat Course

This form is an official request that a repeated course be included in my grade point average, and that a previous enrollment in the same course be excluded from the grade point average.


Requests for transcripts may be made in person, by sending a letter, or submitting a fax to the Office of Admissions and Records. All requests should include: name attended under, Social Security Number, last term attended, number of copies desired (maximum of five copies per request), the complete mailing address of where the transcript should be sent, and your signature. There is no charge for transcripts. Allow a minimum of 72 hours for processing of a transcript request. Requests will be processed as quickly as possible in the order of receipt.

During peak periods (final exams and grade posting, registration, and commencement) there will be a delay of several days. All requests must be made in writing by the student. Request by persons other than the student will not be honored without the student's written authorization. Transcripts may not be picked up by anyone other than the student unless that person has written authorization from the student.

Important Notice about Obligation to Repay Funds

Registering for courses over the internet (Banner Self-Service), via e-mail, by phone, by mail, or in person creates a financial obligation to Sul Ross State University. Withdrawal from the university or termination of attendance after the term begins obligates a student to all or partial payment of tuition and fees, possible repayment of federal or state financial assistance, loss of scholarship funds, or overpayment of veteran education benefits. Notification of a student's financial obligations may not be determined until after the student has ceased enrollment.
